    What you should know about the role

    Responsible for the development of priorities and policies for the maintenance and construction of the organizations’ facilities. Oversees facility coordinators and vendors to ensure all facilities are maintained and functioning properly to enhance the appearance and productivity of the credit union. This includes oversight of building renovations, equipment needs and maintenance, grounds/building maintenance, obtaining contract bids, and overall efficient use of facilities. This position is also responsible for the physical security of the branches and maintaining our business continuity plan.

    Major Duties

    • Create and maintain an overall vehicle strategy for entire fleet of credit union vehicles.
    • Responsible for negotiating and monitoring contractor compliance for credit union contracts including but not limited to: landscape, janitorial, HVAC, carpet, elevator and snow removal. Coordinates and tracks contracts for janitorial, grounds maintenance and waste disposal at all branches. Prepares bid specifications for company and oversees the implementation contract. Maintains a file of vendors for all facility related functions.
    • Responsible for coaching and developing Facility Coordinators.
    • Responsible for strategic facility management which includes executing strategic plans for growth in all regions. This also includes creating detailed proposals for any remodels, new builds and all construction projects as requested.
    • Responsible for the business continuity plan. This includes maintaining and updating current business continuity plan and suggesting improvements when needed.
    • Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
    • Develops and adheres to annual facilities budget for each region, including budget aspects of capital expenditures as defined by Senior Management. Consistently look for ways to decrease expenses and increase efficiencies credit union wide.
    • Responsible for physical security for all facilities. This position will work closely with the Compliance and Security Manager to ensure buildings, areas and grounds are safe for employees and visitors including placement of security equipment in new or existing branch or ATM locations.
    • Responsible for ensuring the Facility Coordinators provide for all facility, construction and associated maintenance and renovations to include plumbing, electrical, HVAC, telephone, lighting, drive-up systems, sound/music, power generation and back-up, structural, roof, paint, elevator, appliances, including the purchase of new or replacement equipment. Electronically tracks all issues and actions taken.

    Physical Requirements

    Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 75 lbs. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee frequently is required to stand, walk, and reach with hands and arms. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. Must be capable of regular, reliable and timely attendance.

     

    Working Conditions

    Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise, as well as outside in various degrees of heat and cold.

    Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.

    Interpersonal Skills

    A significant level of trust, credibility and diplomacy is required. In-depth dialogues, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance.

     

    Experience

    Five years to eight years of similar or related experience, including preparatory experience.

     

    Education/Certifications/Licenses

    State approved drivers license is required.
